KIDS Nursery & Little Explorers Academy ("KIDS", "we", "us") is committed to protecting the privacy of the children and families in our care. This policy explains what personal information we collect, why we collect it, and the choices and rights you have.
1. Information we collect
- Enquiry data — the name, child's name, email, phone number, child's age and message you share through our website contact form or a tour booking.
- Enrolment data — once a child joins us: passport / Egyptian ID copies, birth certificate, immunisation and medical records, emergency contacts, authorised pick-up persons, dietary and allergy information.
- Learning & wellbeing records — observations, learning journals, progress reports and attendance.
- Images & media — photos or videos of your child (only with your written consent), used for their learning journal and, where separately agreed, for our website or social media.
- Website data — basic technical/cookie data to keep the site working and understand usage.
2. How we use your information
- To respond to your enquiry and arrange tours or enrolment.
- To provide safe, high-quality care and education and to meet each child's health and dietary needs.
- To communicate with parents about their child's day, progress and nursery news.
- To comply with our legal, regulatory, safeguarding and health-and-safety obligations.
3. Legal basis & consent
We process data on the basis of your consent, our contract with you, our legitimate interest in running the nursery, and our legal obligations under applicable ARE law. Photography, marketing use and transport are always opt-in and can be withdrawn at any time.
4. Sharing your information
We never sell your data. We share it only where necessary: with regulatory and licensing authorities, with medical professionals in an emergency, and with trusted service providers (e.g. secure hosting) under strict confidentiality. Staff access personal data strictly on a need-to-know basis.
5. Data retention
We keep enquiry data for up to 24 months. Children's records are retained for the period required by regulation after a child leaves, then securely destroyed.
6. Keeping data safe
Records are stored securely with restricted access, encryption where appropriate, and confidential-waste disposal. All staff are trained in data protection and confidentiality.
7. Your rights
- Access the personal data we hold about you and your child.
- Correct inaccurate information or update your details.
- Withdraw consent (e.g. for photography) at any time.
- Request deletion of your data where we are not legally required to keep it.
